To make a sale, you must first create a client and, to avoid duplicates, it is essential to first check if the client exists.
To create a new client, in the Point of Sale, you can click on the red + on the Client menu.
Search for Existing Client
You can check if the client exists by entering the first few letters of their name in the Client field. Suggestions may appear.
You can do this by using the search bar located at the top right of the menu Clients > Clients. Enter the client's name, phone number, address, or any other identifying information. If your search yields no results, proceed to creating a new client.
Create a New Client
To create a new client, in the Point of Sale, you can click on the red + on the Client menu.
Complete the clients' profile. Start with the first tab, Info. This section contains the clients' general information.
The first field is the clients' Code, which is a unique identifier for this client record. You can create a code manually or choose to have them generated automatically.
The Name field is a mandatory component of personal or business record in GEM-CAR.
GEM-CAR recognizes the distinction between business and individual entities.
This is reflected in the Name field, which allows for appropriate labeling depending on the selected mode :
Business mode: In business mode, the Name field should be used to enter the company's legal name, also known as the business name or corporate name. This is the formal name under which the company is registered and operates.
Individual mode: In individual mode, the Name field should be used to enter the person's full name, typically including their first and last name. This is the name by which the individual is known and identified.
Note: If your clients are more often one or the other (business or individual), there is an option in Clients > Configurations > Configurations.
That tab allows you to select the Default client mode.
The Status field determines whether the customer is Active or Inactive. Please note that if you deactivate a customer, their access to the platform will also be suspended (if any was granted).
Use the Language field to choose the language in which your customer will receive communications and documents generated by GEM-CAR. This does not affect the display language, but rather the communication language.
The Currency will be used for your transactions with this Client.
Fill in the clients' Addresses. If geolocation is enabled, the city and postal code will automatically be entered.
The Bill to field must be completed if the customer present for a vehicle repair is not the one being billed.
Note that a client must have been previously created in order to have a billed invoice.
In Business mode of GEM-CAR, you have the option to enter a # assigned by the client, the suppliers' number for example.
Another important element when creating a new client involves the communication methods used with your client.
Under the Info tab, it is important to indicate whether the client agrees to receive SMS, if this is a communication method used by your company. The client's consent is required by law, and you must obtain it and select Yes or No for each of your clients.
In the tab Marketing, you can also configure the client's preferred method of contacting them.
It is also recommended to indicate the communication Preference, whether it is by text message, phone, or email.
