Once the human resource profile has been created, you can send an access to the platform to the corresponding employee. To do so, go to Human Resources > Human Resources, from the left-hand menu, and select the desired profile. In this case, it's Anne. Then, simply click on the key icon to fill in the necessary information for sending access.
When you click on the key icon, GEM-CAR will display a pop-up window where you can define Anne's data access.
At this stage, you must configure the access you want to grant to this human resource. By clicking in the first field, a dropdown list will appear where you can choose the type of access you want to assign to the Human Resource. In this example, we will select External Accountant based on the predefined roles.
The next two fields are mandatory and will be pre-filled by the system: the values come from Anne's Human Resources' profile, corresponding respectively to the code and work email entered in it. However, it is possible to modify this information directly in the Human Resources profile if it is no longer accurate. So, in this example, the username used will be MEC 3, and the email will be her work email.
Note: Any modification made to these two fields in the pop-up window will affect the information stored in Anne's Human Resources profile.
The next two fields allow you to restrict the following variables:
- the IP address from which access to the platform will be authorized;
- the data the human resource will have access to once logged in.
If you leave the field empty, the user will be able to log in to GEM-CAR from anywhere, as long as they enter the correct username and the password they have set themselves. However, if you enter a specific IP address in this field, the user will only be able to log in from that exact address—any attempt to access GEM-CAR from another address will be denied.
Once all the relevant information has been entered, click Save, then click on the envelope icon to send access to the Human Resource. Here is a preview of the email Anne will receive:
Access the Platform Using Your Email Address
Previously, when creating an account on GEM-CAR, users received an automatic email containing a user code, as shown in the message above. This code was used with the password to access the platform. The email also included a link allowing users to create their own password and complete the account activation process.
Now, in order to simplify access and make the system more convenient to use, users will log in using ONLY their email address. This means that it will no longer be necessary to use a user code to access the platform. Users will simply need to enter their registered email address and password to access GEM-CAR more quickly and intuitively.
Clients who used their username to log in will now have to use their email address to log in to the system.
For example, to access your GEM-CAR, enter the following information:
- Password
Then click on Login.
