Manage National Accounts

Follow the steps described in this FAQ to properly configure and use national accounts.

1. Create the General Ledger Code "National Account": One Per Supplier

  • Bulk Tire Purchases

    • By work order with delivery;

    • Directly via the invoice entry at the Point of Sale.

 

  • Registration of a Client's Tire Sale on a National Account

    • Minimize the impact of taxes by keeping your work order in the estimated time to adjust it with the credit value. 

      • Create a step with work in progress.

      • Create an estimate including tires.

      • Print out a delivery note for the client to sign as proof of receipt.

        • Or take a photo and attach it to the order documents.

      • Transfer the estimate to the "National Accounts" step.

      • Apply for credit for the national account.

      • Adjust the invoice according to the credit received.

      • Close the invoice using the "National Account" payment method.

    • Close your invoice and apply a credit to adjust to the value of the supplier's credit note.

 

Recording of the Credit Note

  • Go to the List of Invoices to Pay in the National Account to See the Initial Purchase Invoice as Well as the Credits

Because the management of national accounts is abstract, since the workshop does not handle money, it is necessary to detail the list of transactions that will be carried out following the previous steps.

Note: It may be a good option to put your supplier (domestic accounts only) without taxes because you will have a purchase entry to make for dozens of transactions in non-taxable credit notes.

Note: The transaction is made to the auxiliary without taxes since the taxes have already been paid on the initial purchase, otherwise they would be paid twice.

 

  1. Create GL and a Method for Collecting Payments from National Account(s) via Credit Notes 

Create a GL code for the national account to receive

Click on Accounting > Chart of Accounts > +Add.

Next, enter the following information: 

  • Internal Code; 

  • Name;

  • Financial.

Select the options that best meet the account's needs.

Click on Save.

Note: Repeat the operation for each of your national accounts.

 

Create a Payment Method for a National Account

Click on Sales > Configurations > Payment Methods > +Add.

Fill in the fields by selecting the standard payment method, "1001 - Bank" and putting for example "CN Goodyear" or "National Account" in the name.

 

Configure the National Account Step

Click on Sales > Configurations > Point of Sale Steps > +Add.

In the Info tab, insert the Name.

Next, click on the Options tab and check the box "Set inventory to "Work in progress" status when the sale is at this stage". 

Click on Save.

Configure the Supplier

Click on Suppliers > Suppliers and select the supplier to which you wish to associate the national account.

Next, click on the Terms tab and in the Purchase account field, select the desired national account for this supplier. To save, click Save.


 Configure the "Discount" product

The Discount product will be used to adjust your estimate when you receive the credit from your supplier (national account) (e.g., GOODYEAR). To set it up, follow these steps:
 
1. Configure a Discount Category

Click on Inventory > Categories > +Add.


 Next, enter the following information:

  • Code;

  • Name;

  • Tax rules;

  • Tax rules for purchases.

Click Save.

 

2. Configure a Discount Product

Click on Inventory > Products and Services > +Add.

Next, enter the following information:

  • Code;

  • Name;

  • Category (DISC - Discount).

Click Save.
