Delete Empty Estimates Automatically or Manually

The system can automatically delete empty estimates to prevent unnecessary estimate numbers from being created when the Point of Sale is opened. If an estimate does not meet the required conditions, it must be deleted manually. In this FAQ, we have the following options:

1. Automatically Delete an Empty Estimate

An empty estimate is automatically deleted when you close the sales window using the Close (X) button, provided that all of the following conditions are met:

  • The estimate contains no products.
  • It is the most recently created estimate in the system.
  • No invoice has been generated from this estimate.

When these conditions are met, closing the sales window automatically deletes the estimate number from the system.

Example: Open the Point of Sale, select a client and a vehicle. Close the sale using the X button, and the empty estimate is automatically deleted.

Note: This automation is intended solely to prevent the creation of empty estimates during normal use of the Point of Sale. It is not intended to automatically delete older estimates, as this could result in accidental data loss.

 

2. Manually Delete an Estimate

If an estimate does not meet the automatic deletion requirements, it must be deleted manually. This applies to estimates that:

  • Were created previously (for example, days or weeks ago).
  • Are not the most recent in the system.
  • Do not meet the requirements for automatic deletion.

To delete these estimates, click the Delete button (trash can). This button is only available if your sales status allows you to delete estimates.

Note: Removing all products from an older estimate does not trigger automatic deletion. Older empty estimates must always be deleted manually using the trash can button.

 

3. Who can view deleted estimates?

When a estimate is deleted, it is no longer accessible to standard users. However, depending on your company’s security settings and access permissions, authorized users or administrators may still access deleted records for auditing or historical purposes. If you have any questions about your access rights, contact your system administrator.
