Understand the Widgets on the GEM-FNI Dashboard

On the Dashboard, on the left, you will find the main menu for all your activities. To choose which widgets will be displayed, simply click the small gear icon located on the Dashboard, immediately to the right of the word Dashboard, and then click the items you want to show or hide. At the top of the screen, you will find shortcuts to the Point of Sale, the Sales, Inspections, and the Human resources.

1. Business Intelligence (BI)

The Business Intelligence (BI) dashboard provides an overview of your company’s financial performance. It aggregates data from one or more connected systems and displays key performance indicators (KPIs) to help you track sales, profitability, and business trends. The dashboard can be filtered by company, year, and month, allowing you to analyze financial data for a specific period. The Revenue and Expenses chart compares your company’s revenue, expenses, and profit for the selected period. The chart displays:

  • Green: total revenue (sales)
  • Red: total expenses
  • Yellow: profit (revenue − expenses)

Hover over a data point to view the exact values for the selected month. This chart helps you quickly determine whether your business is profitable and track changes in its financial performance over time.

 

2. Financial Indicators

The widgets on the right provide a summary of the most important financial metrics for the selected period.

Indicator

Description

Sales

Displays the total revenue generated during the selected period.

Margins

Displays the total gross margin (revenue minus costs) generated during the selected period. This value represents your company’s profitability before deducting operating expenses.

Invoice count

Displays the total number of invoices issued during the selected period. This metric measures the company’s activity and sales volume.

Invoice average

Displays the average value of all invoices issued during the selected period. It is calculated by dividing the total sales amount by the number of invoices.

Jobs

Displays the total revenue generated by labor (services rendered) during the selected period. This metric excludes sales of replacement parts and focuses solely on labor costs.

Part(s) 

Displays the total revenue generated by parts sold during the selected period. This value represents sales related to inventory items rather than labor.

Best month

Displays the month with the highest sales performance during the selected year. This widget helps identify seasonal peaks and periods of strong sales performance.

Worst month

Displays the month with the lowest sales performance during the selected year. This metric can help identify slow periods and facilitate sales planning.

3. Dealership Overview

This widget displays key metrics related to the vehicle fleet indicators.

  • Unsold vehicles: Total number of vehicles currently in stock that have not yet been sold.
  • Vehicles on website: number of vehicles listed on the dealership’s website.
  • Average age of inventory: average number of days vehicles have been in stock before being sold or up to today.
  • Unsold inventory value: total sales value of vehicles still in stock.
  • Unsold inventory cost: total acquisition cost of vehicles currently in stock.
  • *Data updated hourly: data is automatically updated every hour.
     
4. Monthly Dealership Overview

This widget displays performance statistics for the selected month.

  • Vehicles purchased: number of vehicles purchased during the month.
  • Vehicle purchases: total amount spent on vehicle purchases during the month.
  • Vehicles sold: number of vehicles sold during the month.
  • Vehicle sales: total value of vehicle sales during the month.

 

5. Client Actions Overview

This widget tracks visitor activity on the website. These metrics help assess visitors’ interest in the vehicle inventory.

  • Inventory views: number of times vehicle listings were viewed.
  • Phone calls: number of phone calls generated from the website.
  • Messages sent: number of messages sent by visitors via the website.
  • New leads: number of new leads (potential customers) generated.

 

6. Aged Inventory

This widget categorizes vehicles based on how long they’ve been in inventory.

  • Red – vehicles in inventory for more than 90 days
    • Vehicles that have been in inventory for more than 90 days.
    • They generally require special attention (promotions, price reductions, etc.).
  • Blue – vehicles in inventory for 31 to 60 days
    • Vehicles that have been in stock for 31 to 60 days.
  • Green – vehicles between 0 and 30 days
    • Vehicles recently added to inventory.

This breakdown helps the dealership quickly identify vehicles that have been in stock for too long and make decisions to optimize inventory turnover.

7. Chart

This chart provides an overview of the company's financial performance over the selected period. The three lines represent:

  • Income (green): revenue generated.
  • Expense (red): expenses incurred.
  • Profit (yellow): profit (revenue minus expenses).

This widget allows you to quickly track financial trends and compare performance from month to month. You can switch between tabs to view information on Sellers, Categories, Departments, Subscriptions, and Sharings.

 

8. Indicators of the month

This widget displays the key activity metrics for the selected month. Metrics include:

  • Additional margin: margins accumulated on parts sales.
  • Vehicle entrances: number of invoices with vehicles.
  • Inventory value: current inventory value.
  • Ordered inventory: ordered inventory.
  • Reserved inventory: inventory value reserved.
  • Parts purchases: total value of the purchases of parts.
  • Hours billed: hours billed for jobs.
  • Effective hourly rate: actual billing rate.
  • Average invoice: average invoice.
  • Hours per invoice: average hours sold per invoice.

These metrics provide a quick overview of the month’s operational activities.

 

9. Popular vehicles

This pie chart shows the most popular vehicle models in your sales. The different colors represent the other most popular models. 

 

10. Technicians performance

This widget analyzes technician performance for the month. This chart helps managers compare the performance of each technician. Depending on the selected filter (hours, sales, totals, etc.), it can display:

  • hours sold;
  • hours worked;
  • totals;
  • or revenue generated by each technician.

 

11. Financial indicators

This widget displays several key financial metrics. The main metrics are:

  • Active clients: clients who made at least one purchase during the period.
  • New clients: new clients acquired during the period.
  • Client retention rate: % of clients who have continued to buy since the last period.
  • Client acquisition cost: (acquisition expenses / new customers).
  • Average revenue per client: average revenue per client for the period.
  • Accounts collection delay: average delay time for collection of accounts receivable.
  • Gross margin: (total sales - cost of goods sold) / total sales.
  • Debt to equity ratio: total liabilities / shareholders’ equity (capital).
  • General liquidity ratio: short-term assets / short-term liabilities.

This widget provides an overview of the company’s financial health and allows you to track key financial performance indicators.

12. Secure folders

This widget displays folders that require special attention or action. It allows you to track:

  • Unread: number of unviewed folders.
  • Unshared: number of folders that have not yet been shared with the relevant users.

The filter at the top lets you view folders by their status (for example: Already Processed, Not shared, etc.). The + button allows you to create a new secure folder. This widget makes it easier to track folders and ensures that no important documents are overlooked.

 

13. Slips

This widget displays a listing of slips or operational documents created in the system. It allows you to view:

  • unread slips;
  • pending slips;
  • slips processed according to the selected filter.

The Unread Records counter shows the number of slips that have not yet been viewed. The All filter allows you to display all slips or only a specific category.

 

14. Inspections

This widget compiles the history of inspections performed on vehicles. In particular, it allows you to:

  • view completed inspections;
  • track pending inspections;
  • quickly access inspection reports.

The + button allows you to create a new inspection. This widget makes it easy to track the status of vehicles and their inspection history.

These metrics provide a quick assessment of the company’s financial, commercial, and operational health over the course of the month.

15. Calendar

This widget groups together follow-ups, appointments, and scheduled events. It allows you to:

  • view pending follow-ups;
  • view upcoming events;
  • quickly access the calendar.

The + button lets you create a new appointment or a follow-up. The Calendar icon opens the full calendar view.

 

16. Tasks

This widget displays tasks assigned to the user or the team. It shows, in particular: 

  • tasks to be completed;
  • time spent on tasks today;
  • total time spent this week.

The filters let you view: tasks to be done; tasks assigned to a specific user; tasks in other statuses. The + button lets you create a new task.

 

17. Projects

This widget lets you track project progress. It displays, among other things:

  • the efficiency level of projects over the selected period;
  • the average number of tasks completed per day;
  • charts illustrating the progress of projects and tasks.

If there is insufficient data, the chart is not displayed. The + button allows you to create a new project.

 

18. Upcoming subscriptions items

This widget displays subscriptions that are about to expire. It allows you to view:

  • upcoming renewals;
  • the associated annual amounts;
  • subscriptions requiring action.

The filter lets you display only certain types of subscriptions.

 

19. Recuring operations

This widget groups the automated tasks configured in the system. It lets you view:

  • scheduled tasks;
  • their frequency;
  • their execution status.

The + button lets you create a new recurring task.

 

20. Invoice images

This widget displays images of invoices awaiting processing. It allows you to:

  • view scanned invoices;
  • track their processing status;
  • open an invoice for approval;
  • delete an image if necessary.

The counter shows the number of documents currently pending.

21. Other documents

This widget displays other documents imported into the system. It allows you to track: documents awaiting processing; recently imported documents. The + button allows you to add a new document.

 

22. Age of accounts

This widget displays the breakdown of accounts receivable and accounts payable by age. It allows you to quickly identify:

  • accounts payable;
  • accounts receivable;
  • the total amount involved;
  • the breakdown by number of days past due (30 days, 60 days, 90 days, and more).

This widget helps monitor accounts payable and receivable to improve cash flow management.

 

23. Transactions

This widget displays the most recent financial transactions. For each transaction, it shows:

  • the seller or client;
  • the transaction date;
  • the corresponding amount.

It provides quick access to the latest recorded accounting transactions.

24. Taxes

This widget provides an overview of the company’s tax obligations as well as the status of accounts payable. It allows you to quickly track the amounts of taxes due and the amounts owed to suppliers. The information displayed includes:

  • Total payable: the total amount of taxes to be remitted to the tax authorities for the current period (e.g., GST/QST or other applicable taxes).
  • Payable: total amount of accounts payable awaiting payment.
  • Receivables: total amount of accounts receivable awaiting payment.

The chart illustrates the breakdown of accounts payable by payment age. The different colors represent the due date categories for amounts payable (for example: payments up to date, past due, or categorized by different aging periods). This representation allows you to quickly identify debts that require special attention. The + button provides quick access to creating or recording a new transaction related to taxes or accounts payable, depending on the system configuration.

 

25. Travel log

This widget lets you track business travel. It displays, among other things:

  • the distance traveled today;
  • the distance traveled this week;
  • recorded trips.

The + button lets you add a new log.

 

26. Time control

This widget displays tasks currently in progress and the time spent on each one. For each entry, it shows:

  • the employee’s name;
  • the task in progress;
  • time elapsed;
  • start date and time.

The icons also let you view different layouts, such as a list, statistics, or time-tracking charts. This widget is particularly useful for tracking employee productivity.

 

27. Campaigns

This widget displays the results of marketing campaigns conducted over the past few months. Depending on the available campaigns, it can display:

  • the number of campaigns sent;
  • open rates;
  • click-through rates;
  • responses received;
  • overall campaign performance.

The filter allows you to select the time period or campaign type to analyze.

 

28. Missing information

This widget identifies client records with incomplete or invalid information. In particular, it can flag:

  • missing or invalid email addresses;
  • missing phone numbers;
  • other incomplete information, depending on the configuration.

The pie chart displays the number of records affected. In this example: 2 clients have a missing or invalid email address. This widget helps improve the quality of client data and facilitates communications.
