Understand the Active or Inactive Field of a Record

To preserve the integrity of your transaction and accounting history, the platform intentionally does not allow the deletion of any record, regardless of its type. All records created are saved in the database and will remain there for as long as the business remains operational. Whether it’s a Client, Supplier, Resource, Product, or any other type of record, the system is designed to prevent the deletion of records from the database.

Instead, GEM-CAR is built to offer you the option of changing the status of any record by switching it from Active to Inactive, or vice versa. Here’s how you can use this option to change a record’s status. We will use a Client record as an example, which you can access via the left-hand menu: Clients > Clients.

 
Step 1

First, locate the Statut field within the record.

You can now change the Statut of the record by clicking the arrows to the right and selecting either Active or Inactive from the dropdown list.

If the record is currently marked as Active, the system will display the two available status options. Simply select the one you need.

 
Step 3

To change the record from Active to Inactive, it’s very straightforward. Just highlight the Inactive option using the blue selection bar and click it. The record will now be marked as Inactive. Don’t forget to click on Save to save your changes.

When one of your Client, Supplier, Product, or even Human Resource is no longer part of your daily operations, you’ll want to mark that record as inactive. Simply adjust the files status accordingly when it's appropriate.

The data will still be stored and preserved, but will no longer appear in on-screen lists or printed reports—as long as you’ve configured your filters to only show records with the status Active (as shown in the Clients filter example). In this case, Inactive products will not appear.
