Add Shop Supply to Invoices

In GEM-CAR, it is possible to configure the shop supplies fee function so that it appears on invoices.

 

1. Configure shop supplies as a product:

Go to the left-hand menu and click on Inventory > Products and services > +Add.

Among the required information, you will need to fill in the following:

  • Code
  • Name
  • Category: (240 - Materials and Miscellaneous expenses)

Click on Save.

2. To have it appear automatically on all sales, you must configure it in the Sales tab.

Click on Sales > Configurations > Configurations.

In the Sales tab, enter the product code used for shop supplies. Then, enter the percentage of the labor cost that will correspond to the supply charge. Check the option:
“Activate shop supplies for all clients, whether or not the option in their files is activated OR click here to activate it for all the clients.”

Finally, click Save and Close.

3. If you choose to do it separately for each client, do not check this box and configure it according to each client. *The other steps will still be necessary.*

To do so, go to Clients > Clients and select the client you want.

Click on Terms, check the option: “Add shop supplies to this customer's invoice”. Then click Save and close.

4. When you make a sale, the shop supplies will appear automatically if you have chosen to display it on all sales or if it was specifically selected for the client.

If none of these options are checked, shop supplies will not appear on each sale.

Note: GEM-CAR would like to remind you that, although the system allows billing of shop supplies based on a percentage of labor (to accommodate Western Canadian provinces), this practice is not legal in Quebec and Ontario for consumer invoices. Therefore, we invite you to comply with the laws and regulations applicable in your area.

To ensure more accurate billing of your shop supplies, we recommend that you configure it in GEM-CAR to display a precise description on the invoices. However, for commercial clients, you may charge supplies based on a percentage of the labor.
