Procedure for End-of-Year Payroll

In this FAQ, we will address the following steps:

1. Verify Mandatory Human Resources Information

To verify that all mandatory human resources information has been entered correctly, click Human Resources > Human Resources and select the folder you want to open.

In the Infos tab, verify the following required information:

  • Social Security Number (S.I.N);
  • Birthdate;
  • Personal email.

Make any necessary changes, then click Save.

Next, click the Payroll tab and select the appropriate code and enter it in Box 45 code (T4). Click Save.

 

2. Configure the Payrolls Module

Once the verification process has been completed in Human Resources, the same process must be applied to Payrolls. You must then verify all the numbers and enter them in the appropriate fields. Pay special attention to the configuration section, as entering the numbers correctly is essential to ensure that XML files are generated correctly.

Click on Payrolls > Configurations > Configurations.

In the Payrolls tab, enter the correct numbers in the following fields:

  • Account for your provincial source deductions;
  • Federal Source Deductions Account Number;
  • Employer provincial id number;
  • Provincial preparer number;
  • Federal preparer number;
  • Preparer's phone number;
  • Sequential number for RL-1 electronic format.

If you do not have a preparer number, leave this field blank.

Note: Do not confuse the Web access code with the preparer number.

Then click Save.

 

3. Generate the Tax Slips

To generate the tax slips, click on Payrolls > Tax Slips > +Add. 

Then, select the year for which you want to generate the tax sheets and click the Send a copy via email to the employee button if you want to send the tax sheets directly to the employees.

Note: It is important to ensure that all employees have their email addresses listed in their HR records. 

When you click Send, the system will generate your slips in ZIP files. Then you must click Download to retrieve the file.

 

4. Submitting Form 1 to the Government of Quebec
4.1. You Have a Revenu Québec Preparer Number

Click on the link below; it will take you directly to the Revenu Québec portal for submitting forms:

https://www.services.mrq.gouv.qc.ca/AccesEntrpr/s3/s303/S303A01_01A_PIU_TransmRelev_PC/PageIdentification.aspx

On the Transmission of statements (Transmission des relevés) page, click Start (Commencer).

This will give you access to your preparer portal. 

Enter your information, log in to your portal, and follow the steps to attach the .XML file and submit it.

 

4.2. You Do Not Have a Preparer Number

If you do not have a preparer number, you must complete and submit the Application to Register as a Preparer (ED-430) to obtain one. You can submit this form using the online services available in My Account for Businesses, My Account for Professional Representatives, or My Account for Citizens.

Once we receive the form, we will send you, via My Account, a registration confirmation containing your preparer number and the series of sequential numbers you must use for each type of statement you submit.

 

5. Preparing and Submitting the Summary 1

You can use the online service for generating Statements 1 and Summary 1, available in My Account for Businesses and in My Account for Professional Representatives, to submit Summary 1 only.

Note that an employer or professional representative does not need to obtain a preparer number for you to submit Statements 1 and Summary 1 to us using this service.

 

6. Submitting to the Federal Government Using the Web Code

Click on the following link: https://apps.cra-arc.gc.ca/ebci/nkca/Webforms/ng/login

Enter your account number and Web code: CRA website to request a Web Access Code (WAC).

Then click on Sign in.
