The physical inventory feature in the GEM-CAR system is essential for recording and validating the actual status of inventory at a given point in time. It allows you to compare the physical quantities of items with those recorded in the system, thereby ensuring greater accuracy in inventory control and preventing discrepancies that could impact the company’s financial and operational management.
In GEM-CAR, click on Inventory > Physical inventory > +Add.
Next, enter the following information:
- Date
- Category
- Inventory Location
- Line Code
- Sort By
Check or uncheck the box “Show products with no inventory quantity.” Click on Send.
During a Stocktaking session, the system displays all changes made, allowing the user to verify each item individually. You can click on each line to adjust or correct quantities or add explanatory comments. This flexibility makes it easier to identify errors, losses, damage, or necessary adjustments, ensuring that the final data accurately reflects actual inventory levels.
After correcting or adding the actual quantity, click Adjust Quantities.
Confirm the prompt “Are you sure you want to adjust quantities?” by clicking Yes.
If everything is correct, close the page. If you wish to make a change, click the inventory list.
Then click on the product you wish to modify.
On the next page, you can modify the following information:
- Unit value of inventory
- Rate
- Inventory location
- Location
- Serial number
- Comment
Then click on Save and Close.
Additionally, this feature allows you to undo all changes made during the session, if necessary. Simply close the window and use the delete option (trash can icon) associated with the inventory entry. This way, the user retains full control over the process, able to approve or reject changes before they are permanently applied to the system.
