Configure the Environmental Management Fee

Environmental fees allow you to automatically add charges related to recycling or environmental management to invoices, such as fees for oil, tires, or batteries. In GEM-CAR, these fees can be configured to be applied automatically based on the products or services listed on the invoice. This helps ensure compliance with local regulations and provides clear, consistent billing for clients.

To configure environmental fees, follow these steps:

1. Define as a Tax

2.1. Create the Category

2.2. Create the Product

 

1. Define as a Tax
1.1. Create the Chart of Accounts

In the Accounting > Chart of Accounts > +Add menu, create the account dedicated to environmental management fees.

In the Information tab, enter the internal code, the name, and select the financial department. Click Save.

 
1.2. Create the Tax

Click in the Configurations > Configurations menu.

Select the Currencies/Taxes tab and click +New in the Tax Rules section.

Enter the initials: e.g., EMF.

Then, click +New and select:

  • Rate
  • Type
  • GL Account on Sales
  • GL Account on Purchases

Click Save and Close.

At the Point of Sale, once you have selected the client, products, and services, you can select the appropriate taxes for the sale. Click the $ button located below the prices of the Item(s) and Service(s), in the lower right corner of the Point of Sale.

Select the tax rule that includes the environmental tax. Click Save.

The invoice will show the environmental fees as well as the applicable taxes, depending on the country and province in question.

 
2. Define as Shop Supplies

This method is often used when fees need to be automatically applied to certain repairs or products.

 

2.1. Create the Category

Click in the menu Inventory > Categories > +Add.

Then, enter the following information:

  • Code
  • Name (Environmental Management Fee)
  • Type (fee)
  • Tax rules (EMF)
  • Tax rules for purchases (EMF)
  • Chart of accounts for sales
  • Chart of accounts for purchases

Click Save.

 
2.2. Create the Product

Click on the Inventory > Products and Services > +Add menu.

Then, in the Info tab, enter the following information:

  • Code
  • Name (Environmental Management Fee)
  • Category (Environmental Management Fee)

Click Save.

Click the Sales tab and set a Regular selling price. Click Save.

At the Point of Sale, as soon as you select the client, the environmental management fee is automatically displayed based on the type of products and services. In our example, it appears for the service related to an oil change.

The invoice will include the environmental management fee as shop supplies.
